Please read these terms carefully before booking any travel services with Travel My Bharat. By using our services, you agree to these terms.

Welcome to Travel My Bharat. These Terms and Conditions govern your use of our travel services, including tour packages, trekking expeditions, pilgrimage tours, and related services. By booking with us, you acknowledge that you have read, understood, and agree to be bound by these terms.

1. Introduction

Travel My Bharat ("Company," "we," "us," or "our") is a registered travel agency based in Dehradun, Uttarakhand, India. We specialize in curating authentic travel experiences across Bharat, including Char Dham Yatra, Himalayan treks, heritage tours, and adventure expeditions.

These terms apply to all bookings made through our website, mobile applications, phone, email, WhatsApp, or any authorized travel agents representing Travel My Bharat.

Important: By proceeding with any booking, you confirm that you are at least 18 years of age and have the legal authority to enter into this agreement on behalf of yourself and all travelers listed in the booking.

2. Booking & Reservations

A booking is considered confirmed only after the following conditions are met:

  • Receipt of the required token/advance payment as specified at the time of booking
  • Written confirmation from Travel My Bharat via email, SMS, or WhatsApp
  • Submission of valid government-issued ID proof for all travelers
  • Acceptance of these Terms and Conditions

Bookings are subject to availability and may be declined if services are unavailable for the requested dates. We reserve the right to decline any booking at our discretion.

For group bookings (10+ travelers), special terms may apply. Please contact our team for customized group booking conditions.

3. Payment Terms

We accept the following payment methods:

  • Online Bank Transfer (NEFT/RTGS/IMPS)
  • UPI Payments (Google Pay, PhonePe, Paytm, etc.)
  • Credit/Debit Cards (Visa, MasterCard, RuPay)
  • Cash payments at our office (with receipt)
  • EMI options available on select bookings

Payment Schedule:

Token Amount: 25-50% of total package cost at the time of booking
Balance Payment: Must be completed at least 7 days before the tour start date
Last-minute Bookings: 100% payment required for bookings made within 7 days of departure

Failure to complete balance payment before the deadline may result in automatic cancellation of your booking, and cancellation charges will apply as per our cancellation policy.

4. Cancellation Policy

All cancellation requests must be submitted in writing via email to booking@travelmybharat.com or through WhatsApp. Cancellation charges are calculated based on the number of days remaining before the tour start date:

Note: The token/advance amount is non-refundable under all circumstances, regardless of the cancellation timeline. Special packages (Char Dham, peak season tours) may have stricter cancellation policies.

5. Refund Policy

Approved refunds will be processed within 7-14 working days from the date of cancellation approval. Refunds will be credited to the original payment method used during booking.

  • Bank transfers: Refund within 7-10 working days
  • Credit/Debit cards: Refund within 10-14 working days (subject to bank processing)
  • UPI payments: Refund within 5-7 working days

In case of partial service utilization (e.g., early departure from tour), refunds for unused services will be calculated on a case-by-case basis and are not guaranteed.

Service-Specific Non-Refundable Items: Flight tickets, train tickets, special permits (like Hemkund Sahib, Rohtang Pass), hotel bookings during peak season, and any third-party services already booked are generally non-refundable.

6. Itinerary Changes

Travel My Bharat reserves the right to modify, reschedule, or cancel any itinerary due to circumstances beyond our control, including but not limited to:

  • Adverse weather conditions (heavy rainfall, snowfall, landslides)
  • Road closures or route blockages
  • Political unrest or government restrictions
  • Natural disasters or emergencies
  • Safety concerns as assessed by our team
  • Operational requirements of hotels, transport, or activity providers

In such cases, we will make every effort to provide suitable alternatives at no additional cost. However, any extra expenses incurred due to itinerary changes will be borne by the traveler.

No refund will be provided for any services that could not be utilized due to itinerary modifications caused by factors beyond our control.

7. Traveler Responsibilities

As a traveler booking with Travel My Bharat, you agree to:

  • Carry valid government-issued photo ID (Aadhaar, Passport, Voter ID, Driving License) throughout the trip
  • Provide accurate personal information at the time of booking
  • Follow all instructions given by tour guides, drivers, and company representatives
  • Respect local customs, traditions, and religious sentiments at all destinations
  • Maintain appropriate behavior and not engage in any illegal activities
  • Arrive at designated pickup points on time
  • Inform us of any special dietary requirements or medical conditions before the trip

Any damage to property, vehicles, or equipment due to traveler misconduct will be charged to the traveler. We reserve the right to exclude any traveler from the tour without refund if their behavior endangers themselves or others.

8. Health & Safety

Certain tours, especially trekking expeditions, high-altitude destinations (Char Dham, Hemkund Sahib, Valley of Flowers), and adventure activities require a reasonable level of physical fitness.

  • Travelers with pre-existing medical conditions must consult their physician before booking
  • Pregnant women, individuals with heart conditions, and those with respiratory issues should avoid high-altitude tours
  • Travelers must disclose any medical conditions, allergies, or physical limitations at the time of booking
  • We recommend purchasing personal travel insurance that covers medical emergencies

Age Requirements: Some adventure activities and treks may have minimum/maximum age restrictions. Senior citizens (65+) may require a medical fitness certificate for certain tours.

Travel My Bharat is not liable for any health issues, injuries, or medical emergencies that occur during the tour. Basic first-aid assistance will be provided, but travelers are responsible for their own medical expenses.

9. Liability & Insurance

Travel My Bharat acts as a facilitator and coordinator of travel services. We are not liable for:

  • Actions, omissions, or negligence of third-party service providers (hotels, transport, restaurants)
  • Personal injury, accidents, illness, or death during the tour
  • Loss, theft, or damage to personal belongings and valuables
  • Delays or cancellations caused by airlines, railways, or other transport providers
  • Any claims arising from circumstances beyond our reasonable control

Travel Insurance: We strongly recommend that all travelers purchase comprehensive travel insurance covering trip cancellation, medical emergencies, baggage loss, and personal accidents.

10. Force Majeure

Travel My Bharat shall not be held responsible for any failure or delay in performing our obligations due to events beyond our reasonable control, including:

  • Natural disasters (earthquakes, floods, landslides, avalanches)
  • Extreme weather conditions
  • Pandemics, epidemics, or health emergencies
  • War, terrorism, civil unrest, or political instability
  • Government actions, curfews, or travel restrictions
  • Strikes, labor disputes, or transportation shutdowns

In force majeure situations, we will work with affected travelers to reschedule tours or provide credits for future bookings. However, full refunds may not be possible depending on expenses already incurred.

11. Photo/Video Usage

During tours, our team or fellow travelers may capture photographs and videos for documentation and promotional purposes. By participating in our tours, you grant Travel My Bharat the right to:

  • Use photos and videos featuring you on our website, social media, and marketing materials
  • Share content for promotional campaigns without monetary compensation
  • Edit and modify visual content as needed for marketing purposes

If you do not wish to be photographed or featured in promotional materials, please inform our tour guide at the beginning of the trip, and we will respect your privacy.

12. Privacy & Data Protection

We collect personal information necessary for booking and providing travel services. This includes:

  • Name, contact details, and identification documents
  • Payment and billing information
  • Travel preferences and special requirements
  • Emergency contact information

Your data is stored securely and used only for:

  • Processing bookings and providing services
  • Communicating important travel information
  • Sending promotional offers (with your consent)
  • Legal and regulatory compliance

We do not sell or share your personal information with third parties except as required for service delivery (hotels, transport providers) or legal obligations. For detailed information, please refer to our Privacy Policy.

13. Governing Law & Jurisdiction

These Terms and Conditions are governed by and construed in accordance with the laws of India. Any disputes arising out of or related to these terms shall be subject to the exclusive jurisdiction of the courts in Dehradun, Uttarakhand.

In case of any dispute, both parties agree to first attempt resolution through amicable discussion and mediation before pursuing legal action.

Severability: If any provision of these terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
